Event producer Venetia Harpin gives tips on adding memorable elements to your events

I recently worked on an event for an well known airline who wanted to find an innovative way to promote their new routes to the south of France. If we were to go back to the days of the good old-fashioned press launch, this would have probably involved serving some wine from the region, perhaps some nibbles in the form of fromage and saucisson, followed by a presentation with some delightful photos of the Cote d'Azur beaches.

Unfortunately, this approach now has about as much memorability as drinking a bottle of finest Provence rosé; - lovely at the time, but rather hazy afterwards.

Events are no longer passive. Getting your guests to interact and engage with their surroundings is a crucial part of a memorable event. In fact, as an event planner, you should really be asking yourself "How do I make this event more of an experience? "

At this juncture I'm going to drop in a very short note on terminology. If you are confused about the difference between ‘Experiential’ and ‘Immersive’, I'm not surprised. Both are bandied around to describe everything from marketing techniques, to virtual reality, to theatre performances.

My personal interpretation is this: An experiential event is any live environment with interactive elements such as a game, physical challenge, or hands-on activity that you can choose to participate in (or not). An immersive event puts audience participation at the heart of the experience; the entire environment - the set, staff, and sensory elements - is sculpted around a concept and you are immersed in that world.

So how do you go about introducing some of these memorable elements to your events? Here are a few pointers to get your creative juices flowing as freely as that French wine;

Senses

Think about all FIVE of them; Food and decor are the obvious ones, but do you have music (or even an abstract soundscape) that fits your theme? Are there certain scents that evoke the atmosphere you want to create? Is there a way to get your guests physically engaged in a fun activity?

Social Media Moments

Amplify your guests' experiences by creating multiple opportunities to share them online. This could be a photobooth that uploads instantly to Facebook, a beautiful backdrop that creates the perfect Boomerang setting, a live Instagram projection wall that updates throughout the event, or the opportunity to live Tweet questions to a host.

Pro tip: Nothing looks worse than technology that doesn't work. If you're not sure if you can afford an experienced specialist supplier, better to go without. Also don't forget to include a time delay and content approval function on any 'instant' Twitter or Instagram walls. Because someone WILL try to post that photo...

Staff

Apologies to any promo staff agencies out there, but just the thought of sending out identikit teams of uniformed smile-bots who recite answers by rote makes my eyes glaze over. If you need people at your event who really know your company or product to explain it to guests, use actual employees from your company wherever practical to do so! Their in-depth knowledge and genuine enthusiasm will be far more effective. Otherwise, get them to do a face-to-face training session with your event staff.

Pro Tip: If you want to boost your Immersive creds, use in-character actors or costumed event staff so that even the most mundane aspects - being checked off the guestlist, asking for directions, or getting a drink, are an entertaining part of the experience. Oh, and in case you're wondering what we did for the airline... Guests were treated to an immersive musical theatre journey where they were led through scenes in different French towns... intermingling with the actors and being swept up in a romantic story line along the way!
